Data Forms

Build your own Data Forms: In this release, we've redesigned our Data Form template authoring tools, and have made them accessible to all System Admins! Build and distribute your own data form templates to your Coaches, Mentees, and Providers. [READ MORE]

Legacy Rubrics vs Rubrics: We have also consolidated our existing 'Rubrics' into our data form flow, allowing users to build new rubric templates with the Data Form authoring tool to be used in Observations and Self Assessments. With the exception of regular Insights reporting, these new data form Rubrics templates maintain all of the existing functionality of the legacy system, with additional enhancements and functionality. Available Components for Data Form Creation:

Selection Option Components - Allows submitters to select an individual response

  • Radio Set - Choose one item from a set of radio inputs.

  • Dropdown Menu - Choose one item from a dropdown menu.

  • Checkbox Set - Choose multiple items from a set of checkboxes.

  • Date Picker - Gather a date.

Gather Information Components - Allows submitters to fill out a field

  • Text Field - Gather a small line of text and/or numbers.

  • Text Area - Gather a large amount of text.

  • Number Field - Gather only numeric data.

  • Duration - Gather duration in hours and minutes.

  • Attachment - Gather videos, files, goals, or completed data forms or observations.

  • Table Entry Grid - Gather un-scored text in table format.

  • Rubric Grid - Gather scored or un-scored feedback using a customizable rubric grid format.

Provide Information Components - Gives users information

  • Text Editor - Add instructions or information. No gathering of data.

Use Any Data Form in Observations: With this update, any data form template can be used in any observation (if configured to be used by a System Admin). This will allow System Admins to fine tune the rubrics available to be used in an observation, and expand that use into any coaching log or data form.

Additional Data Form Types: We've added two new data form template types - 'Collection Form' and 'Rubric.' The Collection Form type has no special features; it's just a clean way to denote a data form template as a generic form for capturing information, rather than a survey or coaching log. The Rubric type contains the new 'Rubric Grid' component, and is the only data form component that can be scored. The Rubric Grid component is customizable and flexible for your specific needs and use cases. The rubric data form type also contains additional settings around scoring and evaluations. 

Component Enhancements: The Table Entry Grid component allows authors to build freeform data collection grids, often used in the 2x2 review format, but expanded to any XY combination!

The Attachment component has been dramatically enhanced to allow the attachment of goals, completed data forms, and completed observations. This allows authors to request submission of completed work as evidence while a user is completing a data form.

Version History in Data Form Authoring: To prevent data loss and to add additional safeguards when authoring data form templates, we have added a Version History Tool for authors. Data form templates can now be rolled back to prior versions, spun off to create new templates, or deleted if the data gathered by that specific version of the template is inaccurate. This feature is automated, and does not require additional "saving" while authoring a data form. [READ MORE]

 

Report Builder 

In order to facilitate the new data form collection models, rubric templates created using the Data Forms tool will not be accessible via the older Insights Reporting feature within TORSH Talent. Data collected from newly created rubric templates made using Data Forms will be found exclusively in Report Builder.

Legacy Rubrics will still remain accessible, and will be available in Insights Reporting and Report Builder. 

 

Unique Identifiers/IDs Instead of Names

System Admins will now have the option of using an automatically generated alias or Unique identifier (UNID) to identify a user instead of a person's actual name in TORSH Talent. These values will be used in place of all instances of a user's name, with the exception of Admins. [READ MORE] The following two settings are added to Management > System Settings > Customization.

  • Show UNID instead of User Name throughout Talent Web Application

    With this feature enabled, user names will not be shown in the Talent web application user interface. Instead, their UNIDs will be shown. If users do not have a UNID set on their account, the user's Talent userID will be shown. This setting does not affect contents of exports from Insights/Report Builder reporting.

  • Export UNID instead of User Name in Insights Exports

    With this feature enabled, user names will not be shown in the exports from Insights/Report Builder reports in Talent. Instead the UNID will be shown. If users do not have a UNID set on their account the user's Talent userID will be shown. This setting does not affect display of user names within the Insights/Report Builder reports user interface, only the exports.
